Multi Events - AAIC

Multi Events: multiple days, multiple locations, multiple starting points, but also common denominators. The same customer for a similar audience and paid from the same budget, so that’s a lot of balls in the air. How do you focus the events on their own purpose but under the same umbrella? How do you take on the specific challenges of each individual event? That is a fun trial that we have taken on together with Ovation Holland DMC and a large number of other partners for the Alzheimer Association International Conference 2023 (AAIC 2023).

Event Details

The organizers wanted to organise two events around the AAIC 2023.
At the start of the conference, they wanted a reception to welcome everyone to this edition and toast the opening. It had to be a networking affair with fun. Gezellig, as the Dutch say. Six thousand people were going to be put in a large “empty” hall of the RAI Amsterdam, and we were arranging the AV and entertainment. How do you put on a fun show that everyone can enjoy, but that people can still have a drink and network?
At the end of the conference, the organizer wanted a closing event to celebrate another successful edition of the conference. So: party! A party for 2500 people in the Muziekgebouw aan ‘t IJ – which means that the building is at its maximum capacity (damn!). How do you spread those people out and entertain everyone at the same time? So how do you make smart use of AV and entertainment?

These are interesting issues that we were allowed to work on.

Welcome Reception

With one stage in a hall of 12,000 m2, how do you ensure that everyone can enjoy The Royals without the people in front of the stage going deaf? Pulling miles of cable for more speakers is a nightmare, and it doesn’t work either. With our in-house AV and good use of bell packs, we were able to place separate speaker sets throughout the hall that received the music per set and spread the music at a pleasant sound level.

Afterparty

If the location is at capacity, you can use security and hosts to spread out the guests to have a safe evening for everyone. Where’s the fun in that? Therefore AV and entertainment can contribute. We made sure that the music could be heard in every corner of the building, our dancers took the guests in polonese to new areas, our lights lit up the whole building in a beautiful glow, and we created engagement with the audience everywhere. To top it off, we had a fantastic performance by The Big Four in the main hall with a great light show. End result: a full building with only happy people everywhere.

Teamwork

Such an event is, of course, much bigger than just our AV and entertainment. We have enjoyed excellent cooperation with many different parties and our overall project managers at Ovation Holland DMC/MCI The Netherlands. Their role as a liaison with the customer allowed us to focus on our specialism (entertainment and AV), and so were the other partners: location, decoration, catering, etc. Together, we set up two unforgettable days for AAIC 2023.
